Customer enquiry tracking spreadsheet: free CSV template
A customer enquiry tracker is a spreadsheet with one row for each request your business receives. It helps you answer three questions: who needs a reply, what do they want, and what information is still missing?
This is useful for photographers, small agencies and service businesses that receive requests through several channels but do not yet need a full CRM. The template below works as a manual tracker today, independently of IntakeRows.

The file includes one fictional photography enquiry. Open it in Excel, or import it into Google Sheets, then replace the example with your own records. Keep email addresses and phone numbers as text so spreadsheet formatting does not change them.
Which columns do you need?

A worked photography example
“I need a wedding photographer in Pune. Budget ₹45,000. Email priya@example.com.”
Record wedding photography as the request, Pune as the location and INR 45,000 as the budget. Leave the event date blank because it was not supplied. Set the next action to “Ask for the wedding date.” A suggested question is not a fact extracted from the message, so keep it in its own column.
A simple daily routine
- Add each new enquiry as one row and preserve its source message.
- Check whether the same person has sent the same request twice. A shared name alone does not prove a duplicate.
- Assign an owner and use a short status list: New, Waiting for details, Quoted, Won or Closed.
- Set a follow-up date after reviewing the conversation. Do not treat the date the message arrived as the requested event date.
- Filter for due follow-ups when you begin work, then update the row after replying.
When should you use structured intake?
If your spreadsheet already arrives with clean columns, you may only need the tracker. IntakeRows is designed for the earlier step: turning free-text requests into fields you can review.
